1. Scope
This Privacy Policy describes how Astrelle Systems, LLC, a Wyoming limited liability company with its principal place of business at 3401 West Rock Creek Road, Norman, Oklahoma 73072 ("Astrelle Systems," the "Company," "we," "us" or "our"), collects, uses, discloses and protects personal information obtained through the website located at www.astrellesystems.com and any subdomain, page or online form that links to this Privacy Policy (collectively, the "Site").
This Privacy Policy applies only to the Site. It does not govern information collected under a written agreement with a customer, distributor, supplier or government agency, information collected through products or services delivered under contract, or information collected offline, each of which is governed by the terms of the applicable agreement.
By accessing or using the Site, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, do not use the Site.
2. Information We Collect
2.1 Information You Provide
We collect information that you choose to submit through the Site, including when you complete a contact form, request a demonstration or briefing, subscribe to a newsletter or mailing list, register for an event or webinar, download a document, or otherwise correspond with us. That information may include your name, business title, organization or agency, business email address, business telephone number, mailing address, the subject of your inquiry, and any other content you include in a message.
Do not submit protected health information, classified information, controlled unclassified information, or any other information that is subject to a legal restriction on disclosure through a form on the Site. The Site is not designed or authorized to receive such information.
2.2 Information Collected Automatically
When you visit the Site, we and our service providers automatically collect certain information from your browser or device, including your Internet Protocol address, approximate geographic location derived from that address, browser type and version, operating system, device type, referring web page, pages viewed on the Site, links clicked, the date and time of each visit, and the duration of each visit. This information is collected through cookies, pixels, web beacons, log files and similar technologies described in Section 4 and in our Cookie Notice.
2.3 Information from Third Parties
We may receive information about you from third parties, including business contact databases, event organizers, marketing partners, customer relationship management platforms, and publicly available sources such as professional networking sites and government directories. We may combine that information with information collected through the Site.
3. How We Use Information
We use personal information for the following purposes:
- To respond to inquiries, demonstration requests and other communications that you initiate.
- To provide newsletters, announcements, product information and marketing communications that you have requested or that we reasonably believe will be of interest to you, subject to your right to opt out under Section 7.
- To operate, maintain, secure and improve the Site, including analyzing traffic, measuring the performance of pages and campaigns, and diagnosing technical problems.
- To prepare requested briefing materials and coordinate a relevant response. We do not use website advertising pixels or automatically enroll inquiry submitters in marketing campaigns.
- To evaluate and develop business relationships, including qualifying prospective customers, distributors and partners.
- To detect, investigate and prevent fraud, unauthorized access, security incidents and other unlawful activity.
- To comply with applicable law, regulation, legal process and governmental request, and to enforce our Terms of Use and other agreements.
- For any other purpose disclosed to you at the time the information is collected, or with your consent.
4. Cookies and Tracking Technologies
The public Site provides optional analytics through Cloudflare Web Analytics and Google Analytics 4 when configured, enabled and accepted through Privacy Choices. We use necessary preference storage to remember that choice. We do not deploy advertising pixels on the public Site.
Our Cookie Notice explains the technologies and choices. You may accept or reject optional analytics using Privacy Choices in the footer. Submitting a briefing request does not require acceptance of analytics.
5. How We Disclose Information
We do not sell personal information for monetary consideration. We disclose personal information in the following circumstances:
- Service providers. We use providers for website hosting, internal inquiry storage, file storage, email delivery and optional analytics. Cloudflare hosts our website and internal system; Resend delivers emails. Authorized staff may use Anthropic to help prepare a briefing from request details that staff have reviewed as suitable for processing. Email and PDF briefing drafts require human review before delivery. We do not use this process to make automated decisions with legal or similarly significant effects.
- Analytics providers. When enabled and accepted, Cloudflare Web Analytics and Google Analytics measure public-site use as described in our Cookie Notice. We do not intentionally send contact details or free-text inquiry contents to analytics.
- Affiliates. We may share information with entities under common ownership or control with the Company for the purposes described in this Privacy Policy.
- Business partners. Where you request information about a product that we distribute or service on behalf of a manufacturer or partner, we may share your inquiry with that manufacturer or partner so that the request can be fulfilled.
- Legal and safety. We may disclose information when we believe in good faith that disclosure is required by law, regulation, subpoena, court order or governmental request, or is necessary to protect the rights, property or safety of the Company, our customers, our personnel or the public.
- Corporate transactions. In connection with a merger, acquisition, financing, reorganization, sale of assets or similar transaction, personal information may be transferred to the successor or acquiring entity, subject to this Privacy Policy or a successor policy that provides comparable protection.
- With your consent. We may disclose information for any other purpose with your consent or at your direction.
6. Data Retention
We retain personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, to maintain business records, to comply with legal, accounting and reporting obligations, to resolve disputes and to enforce our agreements. Retention periods vary according to the nature of the information and the purpose for which it is held. When personal information is no longer required, we delete it or render it anonymous.
7. Marketing Communications
Where you have subscribed to a newsletter or otherwise agreed to receive marketing communications, we may send you email communications regarding our products, services, events and industry developments. You may opt out at any time by following the unsubscribe instructions included in each message or by contacting us at the address in Section 13. Opting out of marketing communications does not prevent us from sending transactional or administrative messages in response to a request you have made.
Where you provide a telephone number, we may contact you by telephone regarding your inquiry. We will not send text messages for marketing purposes unless you have provided express written consent to receive them. Message and data rates may apply to any text messages you agree to receive, and you may withdraw consent at any time by replying STOP.
8. Your Privacy Rights and Choices
Depending on your state of residence, you may have the right under applicable law to request access to the personal information we hold about you, to request that it be corrected or deleted, to obtain a portable copy, to opt out of the sale or sharing of personal information for targeted advertising, and to opt out of certain profiling. You also have the right not to receive discriminatory treatment for exercising these rights.
To submit a request, contact us at the address in Section 13 with your name, the email address associated with your request, your state of residence and a description of the right you wish to exercise. We will verify your identity using the information you provide and may request additional information where reasonably necessary. An authorized agent may submit a request on your behalf where permitted by law, provided the agent supplies proof of authority. If we decline a request, you may appeal by replying to our response and stating the grounds for your appeal.
Use Privacy Choices in the footer to change your analytics preference. We treat Global Privacy Control as a request to keep optional analytics off. Privacy requests relating to your inquiry records can be sent to the contact in Section 13.
Certain state privacy laws apply only to businesses that meet specified thresholds relating to revenue or the volume of personal information processed. The Company may not currently meet those thresholds. We nevertheless honor the requests described in this Section to the extent reasonably practicable.
9. Security
We maintain administrative, technical and physical safeguards designed to protect personal information against unauthorized access, use, alteration and destruction. These safeguards are appropriate to the sensitivity of the information and the nature of the Site. No method of transmission over the Internet or method of electronic storage is fully secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any credentials issued to you and for the security of the device you use to access the Site.
10. Children
The Site is intended for business, institutional and government audiences and is not directed to children under the age of 18. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without verifiable parental consent, we will delete that information. If you believe a child has provided personal information to us through the Site, contact us at the address in Section 13.
11. Location of Processing
The Company is located in the United States, and the Site is hosted and operated in the United States. If you access the Site from outside the United States, you understand that your information will be transferred to, stored in and processed in the United States, where data protection laws may differ from those of your jurisdiction. The Site is not intended for use by residents of the European Economic Area, the United Kingdom or Switzerland, and we do not target our products or services to those markets through the Site.
12. Third Party Websites and Services
The Site may contain links to websites, platforms and services operated by third parties, including manufacturers whose products we distribute, professional networking sites and video platforms. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policy of any third party site or service before providing information to it.

14. Changes to This Privacy Policy
We may revise this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements or business operations. The revised policy will be posted on the Site with an updated Last Updated date. Where a change materially affects the way we use personal information previously collected, we will provide notice by a prominent posting on the Site or by other reasonable means before the change takes effect. Your continued use of the Site after the effective date of a revised Privacy Policy constitutes your acceptance of it.
